[IGFmaglist] IGF2018 Newcomers Track

Dear Renata, 

Thanks a lot for the proposal shared and the information about assessment of previous work done. I also appreciate your answers to Paul's questions. 

I would like to add a couple of suggestions to the proposed structure of the track. I think it will be better to concentrate the newcomers' efforts on the first few days of the event. In my experience most newcomers sessions on day 3 and day 4 were not that well attended, so I moved youth engagement to day 0 and then regrouped the stakeholders mixing it up a little. See below: 

Day 0: Mentors Session: What is the IGF and ways of engagement for all stakeholder groups and youth. 
Day 1: Knowledge Cafe Session: Governments, IGOs and Technical Community at the IGF: What is the role of these stakeholder groups within the IGF and ways for your engagement?
Day 2: Knowledge Cafe Session: Private sector and Civil Society at the IGF: What is the role of these stakeholder groups within the IGF and ways for your engagement?

For day 3 and 4, it may be possible to have like a helpdesk/information facility to help them if they are lost. They could be referred to those information desks during the 3 sessions mentioned above. 

At the IGF in Guadalajara, the information desks that were flooded with volunteers played that role beautifully.  

Now on the onboarding/engagement I have a few questions, comments and suggestions. 

- At the time people register and ticks a box indicating they are newcomers, they could receive a confirmation email that includes the link (or maybe better the full) FAQ for the IGF and the newcomers pack could be attached to that email. That way, even if they don't subscribe to the mailing list for newcomers, they could receive the pack. 

- Are recordings available for previous newcomers' webinars? Maybe a video could be done using some clips from previous webinars? That way webinars info could be repurposed and recycled to maximize outreach. 

- With regards to the mailing list for newcomers, does that contains the newcomers from previous years? Or is it a list that operates only for that year in particular? That makes me think if there is somewhere a compiled list of previous attendees of the IGF that can be of use for the outreach group? Maybe worth structuring a list that has all previous participants of the IGF and sending an email asking people to opt-in? 

- Has been a survey mechanism be considered to assess the newcomers track a bit more systematically instead?

- Regarding statistics for attendance, different events do different things to track attendance to sessions, but pushing for people to download and use the event app to reflect their attendance could work?

    - The participants are asked to indicate in their registration form if
    they are the first time attendees. They will be offered to subscribe
    to the newcomers mailing list. There is no need to register or sign up
    in advance to the Track, as all sessions are open. The remote
    participation is available for the Track, as for all other sessions.
    - It is possible to send the info package prior to the meeting to the
    1st time attendees. We will invite everyone to subscribe to the

    - We will do at least one webinar, and we will encourage attendees to

    that independent webinars planned by the community are also a good
    idea, as long as the word is spread.
    - We don't have the official statistics from the last year. There are
    the overall estimations of participants, submitted by the Track
    facilitators. Should we gather statistics numbers for this year and if
    so, how? There are however arguments expressed verbally, explaining
    why people were not satisfied with the structure and content. If this
    would be of help to the MAG, I would be happy to explain in more
    details (the proposals already summarizes the key notes in this
    regard).
